Job Responsibilities:

  • Provide registry counter services by assisting clients and handling telephonic and other inquiries.
  • Receive and register hand-delivered mail/files.
  • Manage incoming and outgoing correspondence by receiving, sorting, registering, and dispatching mail, along with distributing notices regarding registry issues.
  • Deliver effective filing and record management services by opening and closing files according to the record classification system.
  • File/store, trace (electronically/manually), and retrieve documents and files, and complete index cards for all files.
  • Operate office machines related to registry functions, including maintaining the Franking machine register.
  • Frank post, record money, and update the register daily.
  • Conduct spot checks on post to ensure no private mail is included.
  • Securely lock post in the postbag for messengers to deliver to the Post Office.
  • Open and maintain a remittance register.
  • Record all valuable articles as prescribed in the remittance register.
  • Handle Registry Clerk Production by delivering and signing over remittances to finance.
  • Return incorrect remittances to the sender via registered post and record the reference number in the register.
  • Maintain a daily record of the number of letters franked.
  • Process documents for archiving and disposal by electronically scanning files, sorting and packaging files for archives and distribution, compiling a list of documents to be archived, and submitting it to the supervisor while keeping records of archived documents.
