Ultra Personnel cc is a well-known medical company that supplies various hospitals with medical equipment. We are currently seeking a dedicated Sales Order Clerk for an internship role based in Edenvale/Modderfontein.

Job Description

The ideal candidate will possess a Business Administration qualification, which can be a Degree or a 3-year Diploma from a recognized tertiary institution. This position offers a one-year internship with the potential to extend to a second year. Own transport is essential.

Duties & Responsibilities

Processing:

  • Ensure all sales orders are processed within 24 hours and delivered the following day.
  • Process sales orders, consignment sales orders, consignment transfers, and loan sets (GRV) on NetSuite.
  • Verify patient information and purchase order details daily from the Reps and hospitals.
  • Escalate unresolved discrepancies to the Processing Manager and relevant parties.
  • Inform customers of all backorders relating to all order types.
  • Assist with Pro-forma invoices for hospitals when necessary.
  • Complete GRV identification and collection notifications on time.
  • Maintain smooth operations of the CSD/Processing Admin and filing functions.
  • Email PODs and invoices to customers promptly upon request.

Consignment:

  • Update and file consignment stock agreements annually for auditing purposes.
  • Process consignment checks and warehouse tasks as per company policy.
  • Complete surge cycle counts and resolve variances before involving reps & product managers.
  • Process all consignment invoicing and replace consignment stock.

Reporting:

  • Pull daily reports and address unresolved issues with the Processing Manager.
  • Reports include stock in transit, open orders, usage bin, and open orders state.

Quotations:

  • Ensure meticulous quoting according to Patient Medical Aid limits.

General:

  • Assist with quarterly and year-end stock takes as required.
  • Resolve customer needs and queries promptly.
  • Maintain good relationships with hospital stock controllers.
  • Be available for overtime during month-end, stock takes, and quarter-end.
  • Visit State Hospitals when necessary to follow up on open orders.
  • Familiarize with all aspects of the processing department for backup support.

Requirements

  • Graduate with a Business Administration Degree or 3-year Diploma.
  • A minimum of 2 years previous working experience.
  • Intermediate Microsoft Office skills, particularly Excel.
  • NetSuite (or similar ERP) experience is an advantage.
  • Attention to detail and thoroughness are essential.
  • Valid code 08 driver’s license & own vehicle for work travel.
  • Fluent in English.
  • Ability to work after hours and weekends as required.
  • Professional demeanor with strong communication and administrative skills.
